What an assistant never does

The things an AI assistant can never see or do in EstatesBase, whatever the policy or the person connecting it chooses.

Updated 17 October 2026

Some things are never available through an AI assistant. No policy setting and no choice when connecting can open them. They stay a person's own act in EstatesBase.

It never sees

  • Confidential incidents. An assistant cannot read a confidential incident report, even for the health and safety team.
  • DBS, barring and clearance. No DBS, barring or clearance document or outcome.
  • Sensitive risk assessments, unless you are one of the people the assessment is shared with. Otherwise it sees only the reference.
  • Contact details. No email addresses, phone numbers or home addresses, for staff or contractors.
  • Files. It can say what a piece of evidence proves and when it expires, but never opens the file itself.
  • Secrets. Single sign-on and user provisioning settings, integration secrets, API tokens, encryption keys and devices.
  • Witness statements, and the people taking part in an off site visit.

People named in a record are shown the way your administrator chooses: first names only, full names, initials only, or roles only.

It never does

  • Delete anything. No record is ever deleted through an assistant.
  • Change people's access. It never changes anyone's role, status, sites, groups or delegations, and never invites anyone.
  • Touch passwords or two-factor. It never asks for or repeats a password, and never changes sign-in settings.
  • Change the AI assistants settings themselves. The policy, the connections and the approvals are only ever changed by a person in EstatesBase.
  • Use View as. An assistant can only be connected by the person themselves.
  • Run scheduled jobs.
  • Make Board decisions. Board and sign-off decisions, the Named Individual's declaration, the Board report attestation and going live are always made by a person in EstatesBase. An assistant can tell you what is waiting, never decide it.

It never acts on its own

  • It never sends your data anywhere by itself. Data leaves EstatesBase only when a connected assistant asks for it, and every request is recorded.
  • It never sees more than the person who connected it can see.
  • It treats what people have written in records (names, notes, descriptions) as information, never as instructions to follow.

There is no tool for any of the things on this page, so an assistant should tell you it cannot do them. Where EstatesBase itself refuses, it says:

This is not available through an AI assistant. Do it in EstatesBase.
