Questions to ask, by role
Example questions a caretaker, site manager, administrator or trustee can ask an assistant connected to EstatesBase, and the six ready made prompts.
Updated 17 October 2026
Ask in your own words. These examples show the kind of question an assistant can answer from EstatesBase today. Today every tool only reads, so ask about where things stand, not to change them. This library grows as assistants learn to do more.
What you get depends on your role, your sites and what you allowed when you connected. If an answer seems to be missing, see A tool is missing.
Each answer should come with a link to the page in EstatesBase. Open it to check, especially before you act on a figure.
For everyone
- "Who am I in EstatesBase, and what can this connection see?"
- "Which sites can you see for me?"
- "What can you help me with in EstatesBase?"
- "Find JOB-0042." (or any reference, or a few words)
Caretakers
- "What's on my list this week?"
- "Which of my compliance tasks are overdue?"
- "What compliance work is due at my site in the next month?"
- "Show me the requests and jobs assigned to me."
- "What does the asset with label 12345678 say? When was it last checked?"
- "Is there any asbestos recorded in the main hall at my site?"
- "Which permits to work are in force at my site?"
- "Which inspection actions are assigned to me?"
Site managers
- "What's overdue at my sites this week?"
- "How many open requests are there, and how many are past target?"
- "Which requests need triage?"
- "Which compliance requirements are not compliant at each of my sites, worst first?"
- "Which certificates have expired or expire in the next 30 days?"
- "Which contractor credentials need renewing?"
- "Which condition findings still need action, and what will they cost?"
- "Which COSHH assessments are due in the next 30 days?"
- "Are we meeting our response and resolution targets this term?"
- "Where is our training position, and what needs action first?"
Administrators
- "What is our compliance position across the organisation, site by site?"
- "What is open on the gap register, worst first?"
- "Which named governance roles are vacant?"
- "Which policies are overdue for review?"
- "Which strategic documents are missing or out of date?"
- "How has the maintenance plan moved against the baseline the Board approved?"
- "What is our planned share of maintenance this year, against our threshold?"
- "How does each site compare on benchmarking?"
- "What is our energy use this year, by site and fuel?"
- "What is the radon position at each site?"
Trustees
If your administrator allows Board members, an assistant can read the Board area for you:
- "Summarise the latest Board report in plain words."
- "What is waiting for a Board decision?"
- "How ready is the annual return?"
- "What is our maturity in each of the DfE's six areas?"
Decisions are always made in the sign-off inbox in EstatesBase, never through an assistant.
Ready made prompts
EstatesBase offers six ready made prompts. Assistants that support prompts list them by name, often in a menu or as a command. If yours does not, ask the same thing in your own words. You only see a prompt if you can use every tool it needs.
| Prompt | What it does | What you give it |
|---|---|---|
| Monday brief | This week's brief: what is due, overdue and needs attention at your sites, and your own work | Nothing |
| Triage new requests | The requests that no rule has placed in a queue yet, with what each needs. It suggests a category and priority, and changes nothing | Nothing |
| Prepare a contractor visit | Everything to check before a contractor works at a site: asbestos, permits, open tasks and the contractors there | The site's name |
| Board report summary | The latest Board report in plain words: what is assured, what is not, and what has changed | Nothing |
| Annual return readiness | How ready the annual return is, question by question, and what is still open. It never answers a question for you | Nothing |
| Incident write-up | A clear write-up of one incident from its record: what happened, who was told, RIDDOR and what is still open | The incident number |
