What an assistant sees

An assistant connected to EstatesBase sees only what you can see, narrowed by the choices you made when you connected it.

Updated 17 October 2026

When you connect an AI assistant to EstatesBase, it is connected as you. It does not get its own account, and it never sees more than you could open yourself.

Narrower than you, never wider

When you connect, you choose:

  • which areas it may use, such as compliance or maintenance
  • which of your sites it may see
  • how long the connection lasts

Your administrator's policy may narrow these further. Everything the assistant asks for is recorded under your name in your organisation's activity log.

What it never sees

Some things never go to an assistant, whatever anyone chooses: contact details such as email addresses and phone numbers, the contents of files, confidential incidents, DBS and clearance records, and secrets such as passwords and keys. People named in a record are shown the way your administrator chooses, for example first names only.

Where your words go

What the assistant reads, and what you type to it, goes to the company that provides the assistant. Only ask it about things you would be content for that company to process under your organisation's agreement with it. If you are not sure, ask your administrator.

What people have written is information

Notes and descriptions in records were written by people. An assistant treats them as information, never as instructions. If an answer seems to follow an instruction hidden in a note, stop and tell your administrator.

Check your understanding

Your assistant is connected to two of your five sites. What can it see?

  • Everything in your organisation
  • All five of your sites, because it is connected as you
  • Only what you could open yourself, at those two sites, in the areas you chose

Which of these does an assistant never see?

  • A colleague's email address or phone number
  • The compliance tasks at your sites
  • Open requests and jobs you can see
