A tool is missing
Why an assistant may not have a tool you expected, or may be refused when it tries one, and what to do.
Updated 17 October 2026
An assistant is only given the tools you may use. So two people can see different tools, and the same person can see different tools in two connections. That is on purpose.
First, ask the assistant
Ask it "What can you do in EstatesBase?". It then uses the help tool, which lists each area you can use through this connection. The full list of tools for your role is on the AI assistant tools page in EstatesBase's help.
If you have just changed something (connected again, or your administrator changed the policy), start a new chat or restart the assistant so it fetches the tool list again.
Why a tool can be missing or refused
Find the words your assistant shows, if any.
You did not give this connection that area. When you connected, you chose which areas it may use.
This connection was not given that area. Connect the assistant again to change what it may use.
Connect again and tick the area. You cannot widen a connection; a new one replaces it.
The area is switched off for your organisation.
That area is switched off for your organisation.
The part of EstatesBase the tool reads is not in use at your organisation.
You cannot open that part of EstatesBase.
You cannot open that part of EstatesBase.
An assistant uses the same rules as the pages. If you cannot open the page, it cannot read it for you.
Your role does not allow it.
Your role in EstatesBase does not allow this.
Your administrator keeps assistants out of that area.
Your administrator has not allowed assistants to use this area.
Your access covers departments only.
Your access covers departments only, so an assistant can only use those.
You are a trustee.
As a Board member, an assistant can use the Board area for you, not the rest of EstatesBase.
It is never available through an assistant.
This is not available through an AI assistant. Do it in EstatesBase.
See What an assistant never does.
Changes
If you ask an assistant to change something and it cannot, you may see:
This connection is read only. Connect the assistant again without read only to make changes.
This connection was not given that kind of action. Connect the assistant again to change it.
Your administrator has not allowed assistants to do this kind of action.
A record that is not found
If an assistant says a record was "not found", it may be at a site this connection cannot see, or one you cannot see in EstatesBase. EstatesBase never says whether a record you cannot see exists.
Still missing
If you think you should have a tool and none of the above applies, tell your administrator, or use the Send feedback button in EstatesBase.
