Reading the activity log

How to read the Activity tab: every call an assistant has made, who it was for, what was asked, and what happened.

For administrators Updated 17 October 2026

Every call an assistant makes to EstatesBase is recorded. Open Settings, then Integrations, then AI assistants, then the Activity tab.

The counts at the top

For the last 7 days:

  • Calls in 7 days: every call.
  • Refused: calls EstatesBase refused, with the reason.
  • Went wrong: calls that failed on our side.
  • Too many calls: calls refused because a connection asked too often.

The list

Newest first. Each row shows:

ColumnWhat it means
WhenThe date and time of the call
PersonWhose connection it was
AssistantWhich assistant made the call
ToolThe tool it used, such as compliance_tasks_list
OutcomeWhat happened, and the refusal in words if it was refused
What was askedA short summary of what the assistant asked for, with personal details removed
Time takenHow long EstatesBase took to answer

The outcomes are:

  • Done: the tool answered.
  • Refused: EstatesBase refused, and the row says why.
  • Shown for confirmation, Confirmed and done, Proposed for approval: used when assistants can make changes, in later releases.
  • Went wrong: something failed on our side. Nothing was changed.
  • Too many calls: the connection, or your organisation, asked too often in one minute.

Filters

  • Person shows one person's calls.
  • Outcome shows, for example, only refusals.
  • On the Connections tab, the Activity button beside a connection shows only that connection's calls. Choose Show every connection to go back.

What to look out for

  • Many refusals from one connection. It may be asking for things the person cannot see, or something may be wrong. EstatesBase tells administrators when a connection is refused 20 times in 10 minutes, or reaches the limit on calls, at most once an hour for each connection.
  • Calls at odd times, or from a person you did not expect. Ask the person. If in doubt, revoke the connection on the Connections tab. Revoking never waits for administrator mode.
  • Went wrong. If you see these often, tell EstatesBase support with the date and time.

What people can see of their own

Each person sees up to the last 20 calls of each of their own connections on Connected apps, with the tool, the outcome and any refusal.

The limits

A connection can make up to 180 calls a minute. Your organisation as a whole can make up to 1,000 a minute. Over the limit, the call is refused and recorded as Too many calls.
