Switching AI assistants on
The steps an administrator takes to let people connect AI assistants: asking EstatesBase, accepting the data notice, setting the policy and switching it on.
For administrators Updated 17 October 2026
AI assistants are off for every organisation until it asks for them. Switching them on takes three steps, and nobody can connect until all three are done.
Where the settings are
Open Settings, then Integrations, then AI assistants. The page has five tabs:
- Policy: who may connect and what assistants may do.
- Assistants: which assistants people may connect, and the clients registered with your organisation.
- Connections: everyone's connections, with Approve, Decline and Revoke.
- Activity: every call an assistant has made.
- Data notice: the notice your organisation accepts before switching on.
Only administrators can open these pages.
Administrator mode
Saving the policy, allowing or stopping an assistant, adding or removing a client, accepting the data notice and approving a connection all change your organisation's settings, so they need administrator mode. The badge at the top of the page says Administrator mode off or Administrator mode on. Press it to turn it on. The first time, it asks you to record that you have completed the administrator mode training. Each change is then recorded in the administrator log.
Revoking a connection and declining a waiting one never need administrator mode. Stopping access never waits.
Step 1: ask EstatesBase to switch your organisation on
Until EstatesBase switches AI assistants on for your organisation, the Policy tab shows:
EstatesBase has not switched AI assistants on for your organisation yet, so nobody can connect even when your policy is on. Ask EstatesBase support if you would like them.
Ask EstatesBase support. You can set your policy while you wait.
Step 2: accept the data notice
- Open the Data notice tab.
- Read the notice. It explains what an assistant can see, who processes the data and how to switch assistants off. See What leaves EstatesBase and to whom.
- Choose Accept the data notice, then confirm.
The page records the version you accepted, the date and your name. If EstatesBase publishes a new version, it asks for acceptance again the next time the policy is saved with assistants on.
Step 3: set the policy and switch it on
- Open the Policy tab.
- Make your choices. Each one is explained in The AI assistants policy, choice by choice.
- Tick Let people connect AI assistants.
- Choose Save the policy.
You cannot tick Let people connect AI assistants until the current data notice is accepted. The page says:
Accept the data notice before you can switch this on.
After switching on
- The people your policy allows find Connected apps under My Profile. It shows their server address and how to connect each assistant you allow. The address for your organisation is
https://<your organisation>.estatesbase.com/mcp - You hear when someone connects an assistant, when a connection waits for your approval, and when a connection shows unusual activity.
- You can switch assistants off at any time by unticking Let people connect AI assistants and saving. Every connection ends at once.
