Approving connections

How an administrator approves or declines a connection that is waiting, and what the person sees while it waits.

For administrators Updated 17 October 2026

If your policy has Approve each new connection ticked, every new connection waits for an administrator before it works.

What the person sees

  • On the consent page, before they choose Connect, EstatesBase tells them: "Your administrator approves each new connection, so it will start working once they have."
  • On Connected apps, the connection shows Waiting for your administrator.
  • If their assistant tries to use EstatesBase before you approve, it is refused with: "Your administrator has not approved this connection yet."

How you hear about it

Administrators are told when a connection is waiting for approval, in EstatesBase and by email, depending on your notification settings. When connections are waiting, the Connections tab also shows how many, with a Show them link.

Approve or decline

  1. Open Settings, then Integrations, then AI assistants, then the Connections tab.
  2. Set Status to Waiting for approval, or choose Show them.
  3. For each connection, read who made it, which assistant it is and what it May do: the areas, the kinds of action and the sites the person chose.
  4. Choose Approve or Decline.

Approve needs administrator mode. The connection starts working at once, the person hears that it works, and its length counts from now.

Decline never needs administrator mode. The assistant cannot reach EstatesBase. The person can ask again by connecting it again.

Things to check before you approve

  • Is the assistant one your organisation allows? The Assistant column shows the recognised name, or "an assistant calling itself ..." when EstatesBase does not recognise it. A name an assistant gives itself proves nothing.
  • Does the person need what they chose? You cannot change a connection's choices. If they chose more than they need, decline it and ask them to connect again with less.
  • Is it an assistant on their own computer? Claude Code, GitHub Copilot in VS Code and Gemini CLI can be imitated by another program on that computer. If in doubt, ask the person whether they connected it themselves just now.

If nobody approves

A waiting connection lapses after 7 days. It then shows Lapsed, never approved, and the person must connect again.
